One tool for both sides of the job
Run your invoices, projects, bookings and chat in one place — and let your client follow the work from their side. No status emails, no retyping, no "where are we on this?"
Free. No card. About two minutes to set up.
It replaces the stack you're paying for
Bought separately, that stack runs $150–$400 a month — and none of it talks to each other. Coordinator is $0. Here's why that's not a trick →
Invoices your clients pay in one click
Send a link, get paid by card — straight to your own account. You see when it's opened.
- Reminders and late fees chase overdue invoices for you
- Bank deposits match themselves to the invoice they pay
- Quotes get signed online and become invoices in one click
Every job, who's on it, what's stuck
Jobs with tasks, owners and deadlines on a board you can actually read — and templates so the next job sets itself up.
- Work waiting on someone else says so — and stays out of your way
- Track time on the job; unbilled hours flow onto the next invoice
- See profit per job, not just per year
Clients book and pay themselves
Share your booking page. They pick a time, pay upfront if you want, and get reminded — you just show up.
- One calendar for the whole team — clashes are impossible
- Packages, classes and waitlists that fill themselves
- Real Zoom / Meet / Teams links, synced to your calendar
See a cash crunch 90 days early
What's owed to you and what you owe, projected forward — with the lowest point ahead flagged. No spreadsheet, no guessing.
Your client sees the project too
Invite the businesses you work with. They follow progress from their own side and approve work in one click — and what you keep private stays private.
Send an invoice to a connected business and it arrives on their side as a bill. Nobody retypes anything.
Clients see what's done and what's next — never your costs, hours or internal to-dos.
Sign-off on the work, and a go-ahead before you bill — recorded, not buried in an inbox.
Real shops run on Coordinator right now
Every business here gets a public storefront on the shared marketplace. These are live — click through.
A whole stack of tools you'd otherwise pay for
Separately they'd be six subscriptions that don't talk. Together they share one client list, one calendar and one set of books — that's the whole idea.
Built for businesses like yours
Clients watch progress without asking. Your hours and margins stay private.
Crews, vans and jobs scheduled together. Invoice when the work's done.
Intake forms, billable time, and books your own profession would sign off on.
Clients book and pay online. Packages, waitlists and reminders included.
Know what's out, what's due back, and what needs cleaning — automatically.
Invoice clients, track your money, share a booking page. All yours, all free.
Free usually means a catch. Not here.
The questions everyone asks before signing up, answered straight.
Yes. Every feature, every seat, every organization — no trial clock, no paid tier waiting behind a feature gate. The whole product is the free product.
Because we never sit in the middle of your money. Payments run on your own Stripe, PayPal or Wise; video calls on your own Zoom, Meet or Teams. We don't process transactions, hold balances or take a percentage — so our costs stay small and structural instead of scaling with your revenue.
No. Invoices, quotes, booking pages, forms and the client portal are all plain links that work for anyone. If a client joins Coordinator later, they also get a live view of the work you share — but nothing requires it.
Yes — import your Google Contacts, your books from a Wave CSV export, and your projects from an Asana-style CSV export.
Every action is permission-checked on the server and leaves an audit trail. Provider credentials are stored encrypted and never shown again. And your data stays yours: leave anytime, and even shared projects split cleanly with both sides keeping their own copy.
Two things, stated plainly. First: the external services you connect run at their own cost — Stripe or PayPal charge their normal processing fees, your Twilio account pays for its SMS, your AI key pays your AI provider, your Zoom is your Zoom. Coordinator adds no markup on any of them; it just doesn't pay their bills. Second: storage. Your first 100 GB is free — plenty for a business running on documents, photos and records. Past that it's $25/month per additional terabyte, the only price tag in the product. Features are never part of the deal either way.
The honest answer: Coordinator gets more useful as the businesses you work with join too, and free is how a network grows. That's the whole model — no asterisk.
I built Coordinator because small firms pay twice: once for six subscriptions, and again in the hours spent keeping them — and their clients — in sync. The tool is free because it works best when the businesses you work with are on it too, and nobody invites their clients into something with a paywall.
Your money moves on your own accounts. Your data stays yours. If something's unclear, email me: support@coordinator.one
